Careers Sourcing Specialist, Sales Support & Vendor Coordination Montréal, QC (H2N) | 100% On-site | Full-time, Permanent $45,000 – $52,000 / year · based on experience Promotex is a full-service branded merchandise company with offices in Montréal, Florida, and Zhejiang, China. Our clients include Air Canada, Lamborghini, the Montreal Canadiens, Cirque du Soleil, Bell Media, Bombardier, and Dell. We manage everything from the first client RFQ through overseas and domestic factory sourcing, sample approval, production handoff, and delivery. We’re hiring two Sourcing Specialists to join our growing team. About the Role You’ll be the point of contact between the client and the factory. When a client sends a request for quote, you take it from brief to vendor pricing to a polished product presentation — and you’re the person who communicates with the client throughout to make sure the spec is right before anything goes to production. You’ll source from our network of domestic suppliers across Canada and the US, as well as from overseas factories, including through direct relationships with our Zhejiang, China office. You’ll build product selection decks to present options to clients, refine briefs based on their feedback, and manage the file from first contact through to a confirmed order — all within a defined order management process. This is not a creative role. It is a precision role. The person who thrives here gets satisfaction from a complete, accurate file, moves quickly without cutting corners, and treats a missing spec as a problem worth fixing before it becomes someone else’s emergency. What You’ll Do Receive and act on client RFQs — communicate directly with clients by phone and email to gather and refine project requirements: product type, quantities, in-hand dates, branding details, budget, and delivery destination Build structured product spec sheets covering materials, dimensions, quantities, decoration methods, branding details, packaging, and logistics Source product options from our network of domestic suppliers and overseas factories, including our Zhejiang, China sourcing office — identifying the best fit for each client brief based on quality, price, and lead time Send coordinated quote requests to 5–8 approved vendors simultaneously and track all replies — pricing, lead times, MOQs, and tooling charges Build client-facing product presentation decks — curating the best options with specs, images, and pricing — and present them to clients for review and selection Refine presentations based on client feedback, adjusting specs, quantities, or product direction until the client is aligned and ready to move forward Enter all vendor quote data accurately into our systems so the sales team can compare options and make vendor selections without digging through email Keep each project moving through our defined order management process — flagging blockers early rather than waiting for them to escalate Coordinate with finance on new client credit status and deposit requirements Prepare complete project files for production handoff once pricing, artwork, and approvals are confirmed Maintain organized records of all supplier communication, spec revisions, client correspondence, and approval history in our systems — not in your inbox What We’re Looking For 2+ years in sourcing, purchasing support, sales coordination, import/export operations, or a detail-heavy B2B role with direct client contact Demonstrated ability to manage multiple active projects simultaneously without losing accuracy Comfortable reading and interpreting technical product information — materials, construction specs, decoration methods, artwork requirements Confident communicating directly with clients in a professional, personable way — both to gather information and to present product options Experience communicating with overseas suppliers in writing; familiarity with factory sourcing from Asia is an asset Clear, professional written communication in English; French is an asset in our Montréal office Experience building product or sales presentation decks (PowerPoint or Google Slides) Experience with ERP, CRM, or structured order-entry systems Someone who follows a process reliably and flags when the process isn’t working — not someone who improvises around it You’ll Fit Here If You Read a spec sheet the way other people read a contract — carefully, looking for what’s missing Are comfortable being the point of contact for a client from their first RFQ through to their approved product selection Get genuinely bothered when information lives in someone’s email instead of the system Can handle a day where three projects need attention at once and still close each one clean Want to understand why the workflow exists, not just follow it blindly Are comfortable communicating directly with overseas factories in writing and following up without being asked Take pride in a presentation sales deck that makes the client’s decision easy — clear, accurate, and complete What We Offer $45,000 – $52,000 / year based on experience 2 weeks vacation 13 paid Quebec statutory holidays Weekly company lunch Employee merchandise allowance — you’ll work with premium branded products every day and get access to them Direct exposure to major brand accounts across Canada and the US A small, stable team where good process is taken seriously and your work has direct, visible impact on real orders Structured onboarding — the workflow is documented and the team will train you on it properly To Apply Send your resume to careers@promotexproductions.com with a short note on your most relevant experience.
